BSIM -An Office administration/management System

BitField Solutions Institute Manager (BSIM) is a unique product of BitField Solutions. The product is designed to meet requirements of administration office of an educational institute. Our motive is to automate every single job going in the administrative office of the institute to ease the office job with accuracy. Depending upon the functionality, the product is divided into three modules.

*     Fee Management System
*     General Office Management System
*     Examination  System
*     Hostel Fees Management
*     Accounts Management
*     Payroll System
*     Library Management

All modules are incorporated with User Management at every level of the software as of security concern. Unauthorized access to the system is not possible at any level. Only administrator level user can perform user management which includes the following jobs:

        1.     Create new user
        2.     Delete existing user
        3.     Grant/Revoke permissions for the operations

Searching

 A powerful searching mechanism to search for a student is incorporated in the system. Student is searched by giving brief information of Class, Name or Father Name in full or partial. Search can be called at any time irrespective of the option in use.

 Easy Updating

             Updating software is very simple. Latest self updating definition and software setup is always available on our website bitfieldsolution.com. Even if there are any changes are to be made in the database they are updated by definition only. Online service is always available for on spot solution of any query.

Functions provided under different modules are listed below:

*     Fee Management Module
 

Fees collection and dividing the amount into different heads is a tedious job performed by the fees section officials. There are always chances of error, as the job requires a lot of time and calculations. BSIM have made the job very simple with accuracy. Key features of the Fees Module Management Modules are explained below.

 

Ø  Flexibility in Designing Fees Structures

Ø  Automatic Distribution of Fees among different Fee Heads

Ø  Easy  Addition/Modification of Fees heads

Ø  Immediate reflection of fee structure changes to the fees already paid by students and balance (if any).

Ø  Facility of Partial Payment, Balance Payment, Discounts, Advance Payment, Casual Admission, Refund etc.

Ø  Student Absentee Management. Fine is calculated from the absentee and leaves entered for a student.

Ø  Recording of Fines in advance to be charged with installments or balance payment.

Ø  Facility to change Faculty/Subjects of student with automatic adjustment of paid fees according to new Faculty/Subjects. Track of faculty changes is stored for individual students.

Ø  Strong reporting system: Collection Reports, Day book, Account summaries, Balance Fee, Student Ledger, Student History, Faculty Changes Track, Student Strength in general; Fees category wise; General Category wise; Section Wise etc.

Ø  Facility to add new classes/Subjects whenever required.


*     General Office Management System

 

This module deals with the jobs performed in general office. Once details of the students are recorded in the software system, we can get different reports required by the institute for own reference and for university/Board dealings. For example, different returns are prepared by system according to the candidature status of the students, class wise strength, subjects taken by the students and many more reports. Brief summary of the operations under the module is given next.

 

Ø  Student Particulars along with photograph are recorded in the system with complete personal information, academic information, residential information, previous board/university information etc.

Ø  Staff Information is stored in the system with designation, department, job status, personal information, educational qualification, joining date etc.

 

Ø  Return System: Returns of all classes related to the university in accordance with university formats (a, A, e, s ) and norms are prepared automatically from the entered particulars. Manuscripts for exam form submission are also prepared from the entered information. Similarly Returns of school student for Punjab School Education Board (E-1, E-2, T-1, T-2 Performa’s) are prepared automatically.

Ø  Fees reports to be submitted to the University/Board account section are also prepared in the formats prescribed by University/Board without any effort from entered information.

Ø  Time Table Reporting System is available in the system; class wise timetable, teacher wise time table , faculty wise timetable, room wise timetable, teacher slips can be prepared from entered common timetable. Facility to locate a student or teacher by specifying student roll number or teacher name is incorporated in the system.

Ø  Diary Dispatch/Receive Management is incorporated in the software.

Ø  Letter drafting system for correspondence with University/Board and others is available.

Ø  Facility to record Details Marks received from University/Board.

Ø  Student wise Admission register maintainace for individual student.

Ø  Character Certificate, leaving certificate and other certificates etc. are prepared.

Ø  Export of Data in Excel Format and preparing of Data CD for submission to the university.

Ø  Reports; Student List, Subject Reports, Address Labels, Strength Reports and many other.

 
*     Examination  System

 

Examination module provides date sheet management system, result preparation system, detail marks card preparation, lecture shortage, gazette printing and merit preparations. Brief summary of the operations under the module is given as followed.

 

Ø  Date Sheet for college examination is recorded along with information of exam sessions. Class wise date sheet and one line statement for a single day can be obtained.

Ø  Sitting Plan and Attendance Charts are prepared from the entered date sheet.

Ø  A simple Awards Entry/Editing system is incorporated in the system.

Ø  Grade for subjects can be entered in place of marks if required.

Ø  Facility to change student status in exams.

Ø  Result Sheets, Gazette, Subject wise/Individuals merit list are prepared from the entered awards. Merits can be prepared for single term and combining marks of previous terms also by choice.

Ø  Detail Marks Cards and Lecture Shortage statements are prepared along with facility to address print address on front or backside (if duplex printer is available).

Ø  Other Reports; Examination absentee report, Blank Award Printing, shortage reports based on exam result/ lecture shortage.

Ø  Preparing Internal Assessment List/Charts for submission to University/Board

 
   Hostel Fees Management
 

Hostel Fees Management Modules is almost same in functionality to Fees Management Module with addition of Specification of Hostel taken by the Student.

 

*     Accounts Management
 

Fees module deals with the account office of the institute. Brief summary of the operations under the module are as under.

*     Library Management
 

Ø  Entry/Editing of Books

Accession Number, Book Title, Classification, IBN, DDC, Series, Author, Publisher, Distributor, Total pages, Price, Book Dimensions etc.

Ø  Searching of books

Books are searched by providing partial information of the book like title/publisher/author. Full information of the selected book is provided i.e. Number of total copies along with accession number DDC and availability status.

Ø  Issue/Return/Reservation of books

To issue/return/reserve a book, member id is provided on the bases of which list of books issued to the student is displayed. If limit of books to be issued is already over only Return button is enabled so that no member can be issued books more than limit specified. If books issued is none or less than limit of books, than only Issue button is enabled. Book can be reserved for a member if not available readily,

Ø  Members Management

Member of the library are managed from the data already entered by the general office, no data is required to be entered again for membership of students or staff.
